Users want to archive MS Outlook emails folders from the default storage location to another location for reducing the size of Outlook data folders. Also, you can use the Outlook Archive feature for archiving old emails message into a safe location. After archiving Outlook emails folders, users can delete unnecessary folders for increasing the speed and efficiency of Outlook.
Archive Thunderbird Email Files. In the Delete group, select Archive. You can also use the Backspacekey to immediately archive one or more selected messages. You'll find it in your Outlook folder list.
Your messages will be moved to the Archivefolder. If you archive a message by mistake, go to the Archivefolder and move the message back to your Inbox.
Older versions of Outlook do not have the Archive button on the ribbon. You can archive one or more selected messages by clicking the Backspacekey. If you click the Delete key, the messages go to the Deleted Items folder. You cannot change the behavior of the Backspace key. Note: If you have a message open in its own window instead of the Reading pane, the Backspace key will not archive the message. You have to close the message and view it in the Reading pane for the Backspace keyto archive the message.
When the message is open in a new window, the only way to archive the message is by using the Archive button on the ribbon. To prevent the Backspace key from moving items to the Archive folder, you can add the following registry entries to disable this functionality.
Important Follow the steps in this section carefully. Serious problems might occur if you modify the registry incorrectly. Before you modify it, back up the registry for restoration in case problems occur. Your Archivefolder is in the folder list. By default, when you search for Outlook items by using the Search Current Mailbox feature at the top of your folder list, Outlook searches your entire mailbox.
If you want to scope the search to your Archive folder only, first select the Archive folder in the folder list. Tip: Archive and AutoArchive might not be available if your mail profile connects to an Exchange Server. It's also possible that your organization has a mail retention policy that overrides AutoArchive. Check with your system administrator for more information. Click the Archive this folder and all subfolders option, and choose the folder you want to archive.
You can create multiple. For example, you may want to keep items in your Sent folder longer than items in your Inbox folder.
This option doesn't remove that exclusion from these items, but instead ignores the Do not AutoArchive setting for this archive only. Important: Office is no longer supported. You can also manually back up and archive items, in addition to AutoArchive or as a replacement.
Manual archiving provides flexibility, and allows you to specify exactly which folders are included in the archive, and which archive Outlook Data File.
Click the Archive this folder and all subfolders option, and then click the folder that you want to archive.
To review and probably change the archive options, click AutoArchive Settings…. Or, you can click No to close the prompt, and configure auto archiving later at the time most convenient to you by performing the following steps. The screenshot below shows the default settings, and the detailed info about each option can be found here. When archiving is in progress, the status information is displayed in the status bar. As soon as the archive process is completed, the Archives folder will appear in your Outlook automatically, provided you selected the option Show archive folder in the folder list.

For other folders, such as Inbox , Drafts , Notes and others, you can turn on the AutoArchive feature in this way:. Microsoft states that this option is not checked by default, but it was checked on some of my Outlook installations. So be sure to uncheck this option if you want to keep expired messages until they reach the end of the aging period set for a given folder.
Archive or delete old items. Select this option if you want to configure your own auto-archive settings. If unchecked, Outlook will use the default AutoArchive settings. When this option is selected, Outlook automatically moves old emails and other items to the archive.
By default, Outlook stores the archive. To choose another location or give another name to the archived. Permanently delete items. This will delete old items permanently as soon as they reach the end of the aging period, no archive copy will be created. Apply these settings to all folders now. To apply the configured AutoArchive settings to all folders, click this button. If you want to apply other settings for one or more folders, do not click this button.

How to create archive folder in Outlook If you selected the Show archive folder in folder list option when configuring the Outlook Auto Archive settings , the Archives folder should appear in the Navigation pane automatically.
